Guests claim a room in the block and a shuttle seat that can't overfill.

What's inside

Guests in the hotel block give check-in and check-out dates; everyone else skips them. Each shuttle shows how many places are left and closes when it's full.

Running guest transport

Send the form with the invitation or right after the RSVP, and set your intro deadline a week before the hotel releases the block. Unbooked rooms usually go back on sale on that date.

Each shuttle place is one reply, and one reply can be a couple or a family. Set each shuttle to the seats on the bus divided by your usual group size, about 20 replies for a 40-seat coach, and use the travelling-together count to check the real number.

Two departures each way spread the crowd. The later return is the one people want, so the earlier bus fills last; if it stays half empty, move its time closer to the end of the night.

A week before, send the hotel the list of block guests with their dates and give each driver the names on their bus. For guests flying in for several days, pair this with the destination wedding RSVP.

Wedding shuttle questions

What happens when a shuttle is full?

It shows as full and can't be picked, so later guests choose the other departure or their own ride. You never have 50 guests waiting for a 40-seat bus. If one departure fills weeks early, ask the shuttle company for a second vehicle and add it as a new option. Guests who already replied keep the seats they picked.

Can guests book their room through the form?

No. Guests still book with the hotel using your block code; the form tells you who did and for which nights, so you can match it against the hotel's list. Put the block code and the booking link in the intro, where guests look first. Guests staying elsewhere skip the dates but still pick a shuttle, so check they can reach the hotel stop.

Can I change the times and the number of places?

Yes. Edit the departure times and set your own number of places per shuttle, or add a third departure. Change the hotel name in the stay options and in the shuttle times together, so guests see one name everywhere. If the ceremony and the reception are at different places, add a shuttle question for the ride between the two.
