Destination wedding RSVP

Collect travel dates, rooms and airport transfers with every yes, so you can plan the trip.

What's inside

Guests who can travel name everyone traveling with them, then give their dates, where they will stay and whether they want a transfer; asking for help with a room opens a question about the room type. Guests who can't come can send their wishes. The last screen answers each reply by name.

Planning around your guests' travel

Guests need more notice for a trip than for a reception down the road. Send a save the date nine to twelve months out, then this RSVP four to six months before, with a reply date that matches your hotel's room-block cutoff.

Each traveler's full name, as on their passport, is the list a hotel and a transfer company ask for. Arrival and departure dates tell you how many nights each room block needs and who is around for the welcome dinner or the day-after brunch. Export the replies as a CSV file and sort them by arrival date to plan airport pickups in batches.

The stay question splits guests into three groups: in your block, booked elsewhere, or asking for help. The third group sees a room-type question, which is the detail a hotel or planner asks for first.

A WhatsApp number is the fastest way to reach guests who are already traveling. Use it for a ferry time change or a weather update, and keep long details on your wedding website.

Destination wedding RSVP questions

Can guests fill it in from abroad?

Yes. The form opens in any browser, on any network, without an app or an account. The phone field takes international numbers, and the dates use each guest's own calendar picker. If a guest's flights change after they reply, they can fill in the form again. Sort your responses list by name and work from the newest reply.

How do I handle guests who book their own place?

They choose “I've booked my own place” and skip the room question. You still get their dates, so you know who to include in transfers and group plans. They may stay across town, so message them a week before to agree a pickup point. If many guests book their own place, ask the hotel to release unused block rooms before the cutoff.

Can I add a question about excursions?

Yes. Open your copy and add a checkbox question with the activities you're planning. Move it into the attending section if only traveling guests should see it. If a boat trip or winery visit has a fixed number of seats, give that option a capacity so it shows as full once taken. Put the price per person in the option text.
