Friends claim a job for the day, and each job closes when it has enough hands.

What's inside

Each job shows how many places are left and closes when it's covered; the whole form closes once all 19 places are taken. Friends who pick driving say how many passengers fit in their car.

Organizing helpers for the day

Write the job list from your own day before you send it: what has to happen, at what time, and how many people it takes. Setup and teardown need the most hands; the welcome table needs two people who know the guests.

Send it three to four weeks out to close friends and family who are already coming, not to every guest. Ask each person for one job, so nobody spends the whole reception working.

Put a time on every job that has one. A friend who knows they're on drinks for an hour, not all night, says yes more easily.

A week before, send each helper the timeline and the name of the one person to ask on the day. The skills answers are your backup list when something comes up on the morning.

Wedding helper questions

What happens when a job is full?

It shows as full and can't be picked, so the next friend takes a job that still needs people. When every place is taken the form closes and says so. If a friend drops out later, raise that job's places and the closing total by one in the editor. The spot opens again, and you can text the group that it's free.

Can I change the jobs and the number of helpers?

Yes. Rename the jobs, set your own number of places for each and change the closing number to their total. If you add a job, add its places to the total too, or the form closes while that job still has free spots. Keep the time in the job name, like the 10 am setup, so friends know the hour before they pick.

Can a friend take two jobs?

Yes, by sending the form twice. Most couples prefer one job each, so friends still get to enjoy the wedding. Two short jobs at different hours can work, such as setup in the morning and the welcome table later. Check the times in your responses list before you send the timeline, so nobody is booked in two places at once.
