Taking bookings without double-booking
Each room has its own four slots with one place each, so two groups can play the same hour in different rooms but never the same room. Change the times to your opening hours.
The phone number is for the day itself. Text the group 30 minutes before to confirm, and you catch no-shows before the room sits empty.
The occasion answer is an upsell. A birthday group might take a cake slot after the game; a team outing might want a photo with the room's props.
Escape room booking questions
Can I take a deposit in the form?
No. Fillio takes no payments. Say how and when groups pay in the intro, and send a payment link with your confirmation if you take deposits. Many rooms ask for one player's ticket as a deposit and refund it if the group cancels 48 hours ahead. Put that rule in the intro, so groups read it before they pick a slot.
How do I open next week's slots?
Duplicate the form for each week, or rename the time options and clear the replies. Each copy closes on its own when its twelve slots are booked. Put the date in the form title, such as "Saturday, May 10", so nobody books from an old link. Share the new link on the same day each week, and regulars learn when to look.
Can I add a fourth room?
Add the room as an option, then add a time question shown only for that room, with one place per slot. Raise the closing limit by four. Use the same four times as your other rooms, so staff run one schedule. If the new room is bigger, put its player range in the option name and raise the maximum on the players question.
