A snack schedule that runs itself
Send the link right after the first practice, while every parent is still reading the team chat. Most schedules fill in a day.
One place per game means two families never bring snacks on the same Saturday and no week is left empty. Change the dates to your season, and add or remove games as needed.
Put the allergy rule in the form itself. A parent who ticks it has read it, which beats a rule buried in a long welcome email.
Text reminders the day before cut the number of forgotten snacks. Send them on Friday afternoon from the numbers in the replies.
Snack schedule questions
What if a family needs to swap games?
Delete their reply so the game opens again, then ask them to pick a new one. Or swap two families' replies yourself if they agree between them. When two families swap, edit both replies so the dates in your list match the new plan, and post the change in the team chat so the coach knows who to expect that Saturday.
Can I use it for drinks or half-time fruit too?
Yes. Rename the games to the duty, like drinks at game 1. For two duties per game, give each game a capacity of 2 and say what each family brings in the intro. Raise the form's response limit from 8 to 16 as well, or it closes before the second spot on each game fills.
What if we have more families than games?
Families who open the form after every game is taken see that it's closed. Ask them to cover the end-of-season party instead. Once playoff or tournament dates are known, add them as new games with one place each, raise the response limit to match, and share the link again in the team chat, so those families get first pick.
