Retirement party RSVP

Colleagues reply, offer a short speech and write a line for the memory book, coming or not.

What's inside

A yes can offer a two-minute speech and say if a partner is coming; everyone writes a line for the memory book, so colleagues far away take part too.

Planning the send-off

Send the link three to four weeks before, to the current team and to people who worked with the retiree years ago. Former colleagues often want to write a line even when they can't come.

Speeches run long. Ask speakers for two minutes each, keep the list to five or six, and give the order on one card to whoever hosts.

The memory book is the gift people remember. Print the lines in the order they arrived, or group them by decade, and hand it over after the last speech.

Partners change the headcount. Add them to the yes count before you book the room or order food.

Retirement party questions

How many speeches is too many?

Five or six at two minutes each fills about a quarter of an hour, which a standing crowd with drinks will happily listen to. The replies give you the speakers early instead of on the night. Message them a week before with their order and the two-minute limit, and put the retiree's closest colleague last.

Can former colleagues join?

Yes. Send them the same link. The memory book line is asked of everyone, so people who moved on years ago can add theirs even if they can't come. Ask a long-serving teammate to forward it to old colleagues they still know, since work lists rarely have personal emails. A no still gets an end screen confirming their line is in the book.

How do I keep the memory book a secret?

Write in the intro that the book is a surprise, and send the link without the retiree on the list. The party can be public while the book stays hidden. Replies reach only you, so nobody's line shows up in a shared thread. Close the form about a week before the party, which leaves time to print and bind the book.
