Kids' birthday party RSVP

Parents reply with a contact number, stay or drop-off and any allergies, in under a minute.

What's inside

Parents give their name and phone. A yes asks how many kids are coming, then each child's name and food allergies, and whether a grown-up stays; a drop-off asks who picks up.

What to ask the parents

Send the link through the class group chat or the school's messaging app two to three weeks before the party. Parents answer on their phone between pickups, so the form keeps to what you need on the day.

The allergy question is the one that matters most, and it is asked for every child, so siblings with different allergies never share one answer. You see a nut allergy before you order the cake, not at the table.

Stay or drop-off tells you how many grown-ups to plan coffee and chairs for. For drop-offs, the pickup question gives you the name of whoever comes at the end, which matters when it isn't the parent who replied.

Keep the parent phone numbers in your responses until the party is over. If the venue changes or it rains, you can reach every family directly.

Kids' party RSVP questions

How do siblings reply?

In one reply. A parent who brings two children answers 2, and the form asks for each child's name and allergies in turn. You get one row per family, with Child 1 and Child 2 side by side. Up to four children fit in one reply. A bigger family, or a parent bringing a friend's child along, can send a second reply, and the phone number shows you both rows belong together.

Can two parents reply for the same child?

They can, and you'll see two rows with the same child's name. Mention in the intro that one reply per family is enough. When both come in, keep the newer one, since a second reply is often a parent correcting the allergies or the pickup name. Save both phone numbers for the party day.

Can I add a question about a gift or a theme costume?

Yes. Add a question in your copy and place it in the yes section if it only matters for children who come. Keep the form short: parents fill it in on the go. Every extra question is one more tap in the school pickup line, so stop at one or two. For gifts, a separate gift list sent only to parents who ask keeps the RSVP quick.
