Form Settings

Decide when your form accepts answers, how many it accepts, who is allowed in, and what language it speaks.

Where the settings live

Open a form and go to the Settings tab. It holds three groups: Notifications, Form Behavior and Danger Zone. Clicking a group heading folds it away.

There is no save button. Every switch, date and field is written to the form as you set it, and a short confirmation appears once the change is stored. Fields you type into wait until you stop typing before they save.

SettingWhat it does
Form ScheduleAn opening date and a closing date. Outside that window the form stops accepting answers.
Response LimitA maximum number of responses. The form closes itself once the count is reached.
Password ProtectionA password respondents must enter before they can see the questions.
Form LanguageThe language of the buttons, validation messages and thank-you screen your respondents see.
Email NotificationsAn email to you for every submission. On unless you turn it off.
Delete FormRemoves the form for good. It sits in the Danger Zone behind a confirmation.

Form Behavior

Four settings decide whether a respondent gets to answer at all, and in what language.

Schedule

Turn the switch on and you get an opening date and a closing date, each with its own date and time picker. Either one can be left empty: set only a closing date to run until a deadline, or only an opening date to hold a form back until launch.

The closing moment must come after the opening moment; if you set them the wrong way round, Fillio refuses the change and tells you so. Turning the switch off clears both dates at once and the form goes back to being always open.

The times you pick are read in your own time zone and stored as exact moments, so a respondent in another country is let in at the instant you intended rather than at the same wall-clock hour.

Response limit

Turn the switch on and enter a whole number of at least one. Once the form has received that many responses it stops accepting new ones.

The count covers every response the form has ever received, including ones you have already read or exported. Deleting responses from the Submissions tab lowers the count and opens the form again.

Password protection

Turn the switch on and type a password. Anyone opening the link is asked for it before they see a single question.

The password holds for that visit only. If the respondent reloads the page or comes back later, they are asked again.

The password is never sent to the respondent's browser: it is stored as a salted hash and checked on Fillio's servers, and a visitor gets five attempts every fifteen minutes before being asked to wait. The settings field shows dots rather than the current password, so changing it means typing a new one. There is no way to read the old one back.

Form language

Pick one of 34 languages. This is not a translation of your questions. It is the language of everything Fillio itself writes on the form: the Next and Submit buttons, validation messages such as "This field is required", the closed and password screens, and the thank-you text.

The choice is fixed for everyone. A respondent whose browser is set to another language still sees the one you picked, and the page is laid out right-to-left when you choose Arabic, Farsi or Urdu.

What a respondent sees

When a rule keeps someone out, the questions are not rendered at all. They get a single centred screen instead, written in the form's language. These are the three headlines they can land on.

Form Closed

Shown once the closing date has passed. The line underneath reads "This form is no longer accepting responses."

Form Not Open

Shown before the opening date arrives, with "This form is not yet accepting responses." underneath.

Response Limit Reached

Shown when the response limit is full: "This form has reached its maximum number of responses."

The password screen

A password-protected form opens on a lock icon, the heading "Password Required" and a single password box. A wrong password reports "Incorrect password" and the respondent can try again; a correct one replaces the screen with the form immediately, without reloading the page.

The rules are enforced twice

The screens above are decided when the page loads, and every submission is checked again on the server. Someone who opened the form a minute before it closed, or just as the last free slot was taken, is turned away when they press the submit button rather than having their answer quietly dropped. Preview mode ignores all of this, so you can always test your own form.

Notifications

The first group decides what reaches you the moment a response arrives.

Email notifications

On by default. Every submission sends a message to the address Fillio holds for your account; if your account has no email address on it, there is nothing to send to and no mail goes out.

The message carries the form's title, the time the response arrived, every answer laid out label by label, and a button that opens that form's Submissions tab.

Turning the switch off stops the emails only. Responses keep arriving and stay in the dashboard exactly as before.

Danger Zone

The last group is folded shut by default. It holds one action, and that action cannot be reversed.

Deleting a form

Open Danger Zone, press Delete and confirm in the dialog that appears. Fillio asks once; there is nothing to type.

The form disappears from your workspace and its public link stops working straight away. There is no trash and no undo, so export anything you still need from the Submissions tab first.

Tip

A closing date and a response limit work well together: the deadline sets the outside edge, and the limit stops the form the moment you have enough answers, whichever comes first.
